Job Description: Our programs are coordinated by the School Communications Department, who are in charge of managing, mapping, scheduling, and marketing tours. The School Success Coordinator is the first point of communication with our school clients to ensure that bookings and scheduling information is managed effectively and efficiently.

Key duties include:

  • First point to answer inbound calls to office school communications line and handling as appropriate
  • Managing and coordinating school communications email Inbox
  • Coordinating booking, program, administrative related enquiries from inbound communications
  • Effectively communicating outbound booking and program related data, schedules and information
  • Assist in effective and efficient school scheduling functions, and maintenance of school data
  • Communicating tour schedules onto school clients and internal departments
  • Execute school success campaign actions through calls, emails, mailings, and other communications
  • Serve as main point-person for contacts at scheduled schools; communicate program, performances and school participation for all scheduled schools
  • Oversight on all school confirmed programs, and to work collaboratively with internal departments to fulfill school requirements for programs, such as communicating tour dates, changes and adjustments with Production and Creative Departments.
  • Ensure changes and/or adjustments to schools and tours are communicated efficiently and effectively to all relevant parties
  • Assist with creation and upkeep of departmental training materials as assigned
  • Analyze progress and strategize effective tactics and methods of communications
  • Utilize Salesforce CRM, SLACK, TRELLO, Google Docs and Microsoft Office as effective information and planning tools for marketing, tracking and scheduling efforts
  • Actively participate in regular staff, departmental and All Staff meetings

Qualifications or Requirements:

  • Interest in education and theatre
  • Very strong communication, both verbal and written.
  • Phone / customer service experience
  • Strong organizational and multitasking abilities
  • High attention to detail and accuracy
  • Professional attitude and commitment to your work
  • Self-motivated
  • Ability to work independently as well as part of a team
  • Strong interpersonal skills with a customer-centric mindset
  • High level of professionalism and commitment to providing excellent client service.

  • Teamwork/collaboration is a must
  • Microsoft Office Suite
  • Familiarity with CRM software (eg Salesforce) is a plus.

This position functions as part administration, part client services, part communications, and assisting the launch of our tours. This is a fantastic opportunity to take up a core role within an exciting theatre production arts & education company.

Reporting: Plan, present, and report on all appropriate and responsible information at all required staff meetings.

Reports to: School Communications Manager and School Communications Supervisor.

Work Schedule: Part-time to full-time considered. Minimum 0.8 FTE, with occasional extra hours during production high points.

Legal authorization to work in Australia without sponsorship.
